Tuck Shop Coffee Society ("Tuck Shop", "we", "us", or "our") is committed to protecting the privacy of our students, customers, and members. This Privacy Statement explains what personal information we collect, why we collect it, how we use and protect it, and your rights in relation to it.

This Privacy Statement applies to all personal information collected through our website, booking platform, and in-person interactions in connection with our products, workshops, SCA programs, coffee chats, and membership programme.

We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and any other applicable Canadian privacy legislation.

2. Who is Responsible for Your Personal Information?

 

Tuck Shop Coffee Society is the organization responsible for the personal information we collect and hold. Our designated Privacy Officer is:

3. What Personal Information We Collect

 

We collect only the personal information that is necessary for the purposes identified in this Privacy Statement. The information we collect depends on how you interact with us.

3.1 Product Purchases (Coffee Beans and Other Products)

 

When you purchase a product from us through our website, we collect:

  • Full name

  • Email address

  • Phone number

  • Billing address

  • Shipping address

  • Payment billing information (see note below)

 

Note on payment card data: Payment card details (such as credit or debit card numbers) are processed directly and securely by our third-party payment processor. Tuck Shop does not receive, store, or have access to your full payment card information.

3.2 Workshop, Coffee Chat, and SCA Program Registrations

 

When you register for a workshop, coffee chat, or SCA-certified program, we collect the information listed in section 3.1, and additionally:

  • Your SCA candidate number, where applicable and provided voluntarily

 

3.3 Membership Sign-Up

When you sign up for a Tuck Shop membership, we collect:

  • Full name

  • Email address

  • Phone number

4. Why We Collect Your Personal Information and How We Use It

 

We collect and use personal information only for the specific purposes for which it was collected.

4.1 Product Purchases and Class Registrations

 

Personal information collected in connection with a product purchase or class registration is used solely for the following purposes:

  • Processing and fulfilling your order or registration

  • Communicating with you about your order, booking, or programme

  • Maintaining internal business records

 

We do not use personal information collected during a product purchase or class registration for marketing or promotional purposes.

 

4.2 Membership

 

Personal information collected at membership sign-up is used to:

  • Administer your membership with Tuck Shop

  • Send you marketing and promotional communications from Tuck Shop, only if you have expressly opted in to receive them at the time of sign-up

 

You may withdraw your consent to receive marketing communications at any time by contacting us at vincent@tuckshopcoffsoc.ca or by using the unsubscribe link included in any marketing email.

5. Third Parties With Whom We Share Your Personal Information

 

We do not sell your personal information. We share personal information with third-party service providers only to the extent necessary to fulfil the purposes described in this Privacy Statement. These service providers are required to protect your personal information and may only use it for the specific purpose for which it was shared.

We currently share personal information with the following categories of service providers:

  • Payment processor — to securely process payment transactions

  • Shipping carrier — to deliver your order to the address you provide

  • Booking and e-commerce platform (Wix) — to manage product purchases, class registrations, and customer accounts on our website

  • Email marketing platform — to send marketing or promotional communications to members who have opted in

 

Where our service providers are located outside Canada, your personal information may be subject to the laws of the jurisdiction in which they operate. We take reasonable steps to ensure that any such transfers are made in accordance with applicable Canadian privacy law.

6. Cookies and Website Tracking

Our website uses cookies and similar tracking technologies to help us understand how visitors use our site and to improve your experience. Specifically, we may use:

  • Google Analytics — to collect information about website traffic and usage patterns, such as pages visited, time spent on pages, and general geographic location. This information is aggregated and does not identify you personally.

  • Meta Pixel — to measure the effectiveness of our advertising on Meta platforms (such as Facebook and Instagram). This tool may collect information about your interactions with our website.

  • Wix platform cookies — to enable core website functionality, including booking, checkout, and account features.

7. How Long We Keep Your Personal Information

We retain personal information only for as long as is necessary for the purpose for which it was collected, or as required by law.

  • Product and class registration records: Personal information collected in connection with a product purchase or class registration is retained for 3 years from the date of the transaction, after which it is securely deleted or anonymized. Please note that we may retain financial and transactional records for a longer period where required by applicable tax or accounting legislation.

  • Membership records: Personal information collected at membership sign-up is retained for 5 years from the date of your last order or interaction with Tuck Shop. If you request cancellation of your membership and erasure of your personal information in writing, we will action that request promptly, subject to any retention obligations required by law.

8. How We Protect Your Personal Information

We maintain physical, electronic, and procedural safeguards appropriate to the sensitivity of the personal information we hold. These include:

  • Secure, password-protected systems for storing customer and student records

  • Use of reputable third-party platforms that maintain their own security certifications

  • Limiting access to personal information to personnel who need it to carry out their responsibilities

 

While we take these precautions, no method of data transmission or storage is completely secure. In the unlikely event of a privacy breach that poses a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

9. Your Rights

Under PIPEDA, you have the right to:

  • Access the personal information we hold about you

  • Request correction of any inaccurate or incomplete personal information

  • Withdraw consent to our use of your personal information (subject to legal or contractual limitations)

  • Make a complaint about our privacy practices

 

To exercise any of these rights, please contact our Privacy Officer at the address or email set out in section 2. We will respond to your request within a reasonable time, and in any event within 30 days. There is no charge for making a request, though we may charge a minimal fee for responding to access requests in exceptional circumstances, with advance notice to you.
